NIRAH GROUP currently has an opening for a Manager Dispatch and Office Affairs in the Hagerstown office to serve as the primary contact for all Field Technicians for Service, Installation, and ER work performed daily.
Responsible for ensuring the completion and resolution of all work orders and office administration work, in the company database daily.
The successful candidate will provide phone updates with field personnel; monitor, declare, report, and clear all scheduled services, ER services, service calls from clients, and work be done, and take appropriate actions to respond to complaints or questions accordingly.
*Essential functions of the position include, but are not limited to the following:*
· Research and adjustment of work orders, email and communicate all the work orders with the lead Tech and the management.
( Service fusion platform experience is highly prefer).
.
Maintenance of the customer database by making correct and timely entries during and immediately following each customer contact.
· Timely updates of actions and events in the field that may impact customers and/or Service technicians and the lead Tech.
· Maintain the scheduling calendar.
· Communicate effectively with the Vendors, including ER Services, customer complaints, additional work orders, and work order point allotments.
· Identify and expedite emergencies, reacting quickly under a diverse set of circumstances.
· Perform callbacks when reorganizing service/installation schedules and verify when the customer is not at home.
· Provide courteous and helpful assistance to customers and prospective customers by maintaining current knowledge of the company's work models.
Facility management work experience is highly preferred.
· Routing and monitoring work orders to technicians to accommodate customer needs.
· Produce regular reports for pending and completed work
· Perform other related duties and tasks as assigned or as become evident.
*Required Skills/Experience:*
· Proficiency with Service fusion, and Microsoft Office including PowerPoint and MS Publisher, Google sheets.
· Previous experience in service fusion is a great advantage.
· Superior telephone skills, organizational skills, and communication skills, both written and verbal.
· Ability to work flexible and extended hours occasionally as needed.
· Must be high energy, have a positive attitude, and be comfortable in a team environment.
· At least one year of Call Center/Help Desk experience.
*Preferred Skills/Experience:*
· Experience with facility management dispatch systems with different vendors.
· Knowledge of TCP/IP basic troubleshooting commands such as ping and traceroute.
· In-depth knowledge of both service fusion and Windows operating systems.
· Three years of experience in dispatch operations, and customer service, in a facility management company.
