Position Summary
With more students learning online and faculty working remotely, this position is the central hub to connect students with faculty and other support services.
The incumbent will also perform a variety of administrative support functions for the faculty of Allied Health Sciences.
This is an in-person position and is housed at the main campus.
Duties and Responsibilities
STUDENT SUPPORT
• Create and manage a General, Life & Health sciences tutoring initiative, connecting students with faculty and/or peer tutors.
• Hire and supervise Student Employees, including peer tutors and lab assistants.
• Assist students with registering for classes, accessing Blackboard, email, and Bridge.
Serve as a secondary advisor for AH Students as needed.
Document and maintain records of student contact and referrals in DegreeWorks.
• Run reports to determine students who complete certificate requirements.
• Provide non-instructional coverage to dual enrollment courses when faculty are absent or unavailable.
• Support student learning and faculty teaching in Hyflex environment by monitoring live chat sessions to ensure that remote students are not experiencing technical problems and are clear about directions; offering just-in-time help when needed.

• Coordinate special events as needed.
FACULTY SUPPORT
• Greet students, faculty, and guests to the Division at the front desk.
Direct them to appropriate contacts.
Coordinate coverage when unavailable.
• Coordinate AH faculty and staff representation at EM events.
Ensure marketing materials are available at events and in the pod.
• Receive, proofread, and post all course syllabi from AHS faculty each semester
• Answer routine questions for the Division by phone and/or email; Maintain Division office voice mail greetings, forwarding messages, and providing written communication to staff members regarding inquiries
• Lead an outreach strategy via email and text for new & continuing students.
Communicate with new and continuing students, connecting them to their advisors.
Track enrollment trends by semester/degree/advisor.
• Update students’ advisors after receiving the New & Continuing Student report.
Balance advisor loads at the beginning of each semester.
Communicate any changes to students.
• Use computers for various applications, including maintaining spreadsheets, emails, reports, and charts; creating and posting AH lab schedules; surveys, and meeting minutes
• Maintain division calendar with important due dates.
Communicate to faculty about these dates (i.

, grades, attendance, etc.
)
• Maintain AHS employee listserv
• Track & maintain divisions’ inventory, including but limited to office supplies.
• Update and maintain mailboxes for all AHS faculty; receive and distribute mail to all faculty and adjunct members.
• Become OSHA certified & support Lab Coordinator with maintaining OSHA -10 standards.
Assist with lab inspections and ensuring PPE is available.
Coordinate pickup of waste materials from labs.
Ensure that PPE is available in each laboratory.
• Review course schedule for accuracy, identifying any conflicts in faculty/room schedules.
Track Faculty Load each semester.
• Coordinate Careers in Healthcare schedule for Jump Start (faculty will be charge of content)
• Coordinate with Marketing to advertise skill-set certificates and track completion.
• Other duties as assigned.
Minimum Qualifications
Education
• Associate’s degree in healthcare or related field
• Bachelor’s degree preferred
Experience
• Minimum of 3 years’ experience in a related role
